Team Mail Assistant privacy policy
Effective September 29, 2026
Team Mail Assistant helps authorized Firebrand Event Productions users prepare Google Calendar invitations from Gmail and add contacts to the organization's FEP Database in AppSheet.
Information the extension uses
The extension processes the active Gmail compose text locally to recognize dates and times. When preparing an invitation, it reads the draft subject and To/Cc addresses. It does not scan the entire mailbox, send Gmail messages, or upload email message bodies.
When you connect Google Calendar, the extension uses your primary Google account email address to identify the organizer. After you review and confirm an invitation, it sends the meeting title, start and end times, attendees, and optional Google Meet request to Google Calendar. Google may send invitations to the attendees you select.
For shared contacts, the extension accepts the name, company, email, phone number, and notes you enter. It passes those details to the configured FEP Database AppSheet form. You review the form and choose Save in AppSheet. Database access and visibility are governed by the organization's existing AppSheet permissions.
Storage and retention
Contact details are passed in the AppSheet form link to prefill the form. The link and its contact details may remain in browser history or be visible to anyone with access to that link. The extension does not retain a separate copy of contact details in extension storage. Clear relevant browser history if you want to remove saved form links. Do not share a prefilled form link unless you intend to share the contact details it contains.
The extension stores invitation retry identifiers, a hash of the reviewed invitation data, the organizer email, and timestamps locally. It does not store the full invitation payload or email message body in these retry records. Records older than seven days are cleaned on Chrome startup. Removing the extension removes its extension storage.
Google Calendar events and contacts saved in AppSheet remain in those services until removed through their normal controls, subject to organizational retention settings. Removing the extension does not delete those records or retract sent invitations.
Sharing and use
Data is used to provide the scheduling and contact features described above. The extension sends data to Google services, including Google Calendar and the configured AppSheet application, and Calendar shares invitation details with selected attendees. Authorized FEP Database users may see saved contacts according to existing access permissions.
The extension does not implement advertising, analytics, data sales, or a separate third-party scheduling backend. It does not request passwords or an AppSheet API key. Google authorization is handled through Chrome Identity and Google's consent flow.
Your choices
You can review and change meeting details and attendees before creating an invitation, review contact details before saving, revoke the application's Google account access through Google account settings, or uninstall the extension. For removal of shared database records or questions about organizational retention, contact Firebrand Event Productions.
