What Is Event Fabrication? How Custom Sets Get Built
Walk into a ballroom an hour before the doors open and you'll see it: a stage that didn't exist yesterday, a branded wall that fits the room to the inch, a lounge that feels like it belongs somewhere else entirely. None of it came off a shelf. Someone built it.
That's event fabrication. Here's what it means, what gets built, and how a custom set travels from a sketch to the show.
What is event fabrication?
Event fabrication is the custom building of an event's physical elements: stages, sets, backdrops, walls, décor and branded environments. A fabrication team takes design drawings and turns them into finished pieces that install at the venue and strike when the event ends.
Event fabrication vs. scenic fabrication
The terms overlap. Scenic fabrication comes from theater and usually means stage sets and scenery. Event fabrication is broader and includes décor, lounges, hospitality spaces and branded environments. A strong shop does both, because a corporate event often needs a theatrical stage and a hospitality lounge in the same week.
What gets built

Stage sets and scenic design for general sessions, keynotes and award moments
Backdrops, feature walls and branded environments that turn a ballroom, tent or terrace into a space that feels like your brand
VIP lounges, bars and dining environments for hospitality
Floral and organic details designed alongside the scenery
Paint, print and finishing that hold up close as well as from the back of the room
Custom details like logos and shapes you won't find off the shelf, made with 3D printing
How a custom set gets built
1. Brief and concept
It starts with goals, not materials. What's the event, who's in the room, what's the moment you want people to remember, and what does the venue allow? The answers shape the concept.
2. Design and engineering
Designers and architects turn the concept into drawings and renderings, so you can see the plan before anything is built. At the same time, the build is engineered for safe, efficient installation: how pieces break down, travel, fit through the venue's doors and go up on the day.
3. Fabrication

This is where the shop takes over. Carpenters build the structure, painters and printers handle the finishes and graphics, and specialists add floral, 3D-printed details and integrated lighting. A well-run shop tests pieces before they leave, so problems are solved at home and not on load-in day.
4. Installation and strike

The crew installs, the event happens, and the crew strikes. Careful planning in the shop is what makes a fast install possible. At POOLSIDE, a luxury dining environment around a resort pool on Key Biscayne, décor, lighting and entertainment went up in under two hours.
How long does event fabrication take?
At Firebrand, lead time is typically 2 to 6 weeks, depending on scope. A single branded backdrop and a full multi-piece stage are very different builds. The earlier you start, the more creative options you have.
Why in-house fabrication matters
Many event companies design in one place and hand drawings to an outside shop. That handoff is where ideas get diluted and schedules slip. When design and fabrication share a building, three things change:
Fewer surprises. Engineering and finish questions get solved in the shop.
Better finish. One standard from the first cut to the final coat.
Room for bigger ideas. If something hasn't been built before, it can be prototyped and tested at home.
At Firebrand, design and production carry equal weight. Our designers work a short walk from our floral, carpentry, printing, paint, 3D printing and audio-visual departments, all inside our 10,000 sq. ft. facility in Opa-locka.
Fabrication in action
NOLA: a hotel ballroom transformed into a VIP hospitality lounge for the College Football Playoff, with custom scenic décor reflecting local culture and architecture.
POOLSIDE: a luxury dining environment built around a resort swimming pool on Key Biscayne, installed in under two hours.
STAGE: a custom stage for a dinner and awards show, bringing corporate branding to life with staging, audio-visual and scenic décor.
We've also helped design and fabricate VIP hospitality spaces for the Formula 1 Miami Grand Prix since the race returned to Miami in 2022. Go behind the scenes.
